SUMMARY
This position will assist the President/CEO in strengthening and developing the work flows and infrastructure to meet Board imperatives and organizational goals, drive operational initiatives forward, and ensure effective cross-functional communications and collaboration.
JOB FUNCTIONS
Leadership, Coordination, and Integration 35% of time
Serve as the liaison between the CEO and the Executive Leadership Team (ELT) to ensure consistent communication around organizational priorities and activities.
Monitor workflows and make recommendations to improve systems and processes that serve as barriers to achieving results.
Ensure effective decision-making support systems, including an evidence based assessment of the quality of decisions made.
Lead, execute, and oversee projects that typically require cross-functional collaboration and resource allocation. Provide project planning and management for the CEO’s office projects and initiatives.
Special Projects 30% of time
Assist CEO with assigned projects (i.e.: external commitments, relationships)
Conduct background preparation for key projects.
Anticipate and prepare for emerging projects and priorities.
Serve as a subject matter resource, handling inquiries and developing action plans resolve issues and problems.
Communications 20% of time
Assist in the direction and development of various communications for CEO (speeches, columns, memos, etc.)
Lead the direction and development of complex presentation materials for internal and external stakeholders.
Coordinate activities, set agendas, and summarize deliverables for ELT/PLT meetings.
Package high level briefs and organizational data to facilitate executive team decision making and for presentation to staff.
Identify opportunities to keep staff informed of CEO, Board and ELT communication to improve cross department communication.
Organizes special projects, events and meetings sponsored by the president/CEO. Coordinates key messages to stakeholders.
Representation Activities 15% of time
Manage CEO preparation for external meetings. Serves as liaison with others on behalf of the president/CEO. Represents president/CEO at designated meetings and functions.
Ensures leadership team is updated with plans and developments affecting strategy and operations.
Participates on internal committees as assigned.
Facilitates communication between senior management and other staff by participating in divisional meetings and utilizing other channels as appropriate.
Professional and managerial experience in healthcare, association management, and/or not-for-profit environment strongly preferred.
Minimum of five years professional experience planning, leading, and executing strategic initiatives, leading change and promoting strong collaboration.
LEAN Certification and/or certification in project management, change management or strategic planning. Understanding of Baldrige framework preferred.
Experience presenting to a board and contributing at the senior management level.
Must have strong team orientation.
