ChristianaCare is currently seeking at full-time Manager of Practice Operations for our Primary Care office at Wilson (900 Foulk Road location in Wilmington).
PRIMARY FUNCTIONS:
The Manager of Practice Operations is responsible for workflow, performance, and the overall management and operations of the assigned practice which includes maintaining finance and office productivity, meeting quality measures and patient/staff satisfaction and performance goals. The Manager works closely with the Director of Operations and clinical lead regarding financial/budget reporting, workflow processes and standardization, performance improvement and creating a collaborative work environment.
PRINCIPAL DUTIES AND RESPONSIBILITIES:
Monitors, distributes, and communicates practice utilization and individual physician provider billing and productivity on a monthly basis, guided by MGCC strategic goals.
Evaluates, specifies and recommends equipment for operations and patient care in the office.
Manages practice operational budget and administration. Develops control procedures to ensure accurate accounting.
Administers and reconciles practice variance reports. Analyzes monthly reimbursement reports for trends and develops corrective recommendations for problem areas.
Manages the financial operations of office for adherence; patient registration, insurance verification zero charge report and end of day process.
Ensures information technology solutions in the practice to optimize efficiency, in concert with Christiana Care Information Services.
Together with the physicians, plan, develop and implement any changes necessary to meet new demands on the practice both internally and externally.
Manages practice staff and determines staffing standards, staff skills and other needs. Interviews, selects and hires new employees. Manages employee time and payroll records.
Evaluates staff performance, develops standards, and ensures basic competencies for all staff for both virtual and on-site appointments. Ensures that all staff is aware of the importance of protecting any confidential information about patients, physicians or colleagues.
Administers staff mentoring, monitors staff retention, manages employee engagement, and demonstrates CCHS values and behaviors.
Monitors prior-authorization and referral management processes, and clerical and clinical pools for time management.
Administers and engages the care team in performance and quality improvement activities.
Monitors and manages Press Ganey results for patient satisfaction and performance improvement.
Manages, reviews and responds to all safety events and grievance concerns through R2L reporting system.
Manages the practice to ensure sustainability for PCMH certification
Leads PRC request process for assigned practice.
Responsible for budget purchasing of minor equipment
Establishes expectations and model behaviors that demonstrate service excellence to staff and focuses on the patient as the primary customer. Conducts regular meetings with the physicians and staff to discuss practice operations, concerns and improvements.
potential problem areas, develops a system for objectively monitoring performance, and creatively seeks solutions to foster quality improvement.
Assists practices with patient relations to promote patient satisfaction.
Performs assigned work safely, adhering to established departmental safety rules and practices, reports to the appropriate personnel, in a timely fashion, any unsafe activities, hazards, or safety violations that may cause injury to oneself, other employee, patients, and visitors.
Performs other related duties as required.
EDUCATION AND EXPERIENCE REQUIREMENTS:
High School diploma required.
Bachelor's degree preferred.
Must have at least 3 years of healthcare experience with at least 1 year of supervisory experience.
